Exam Procedures:

We have implemented a new online exam sign-up module for students and faculty. A step-by-step guide is available for download:

Please note the following changes to the exam booking procedure

  • The sign-up deadline for students is now 5 working days prior to the exam date. By extending this period from 3 to 5 days, the objective is to give teachers enough advance notice in order to provide essential information re: exam parameters. Considering that this is a new SAAC procedure, some flexibility may be necessary.
  • Students will NOT be able to create a test definition (date and time) in our system. However, they will still be the ones to sign up for their test.
  • Test definitions (date and times) will be entered by you. This means you will only be accessing the system once for every test rather than after every student has signed up.
  • Test information MUST be entered in the system as soon as possible in order to avoid last minute sign ups by students. The system will block students from signing up if they do not do so within the 3 working days.
  • If changes need to be made to a test definition, you will be able to modify the original date (don’t create a new one). The system will notify us allowing us to adjust the sign ups made by students.
  • As per last semester, you will receive an email confirmation for each student who signs up. You will NOT need to go into the system to confirm. You could, however, review which students have signed up. NOTE: Students will have the option of signing up before the scheduled time. This is to take into consideration their extended time should they have a class immediately after yours.
  • If you will be uploading a test in the system it should be done at least 24 hours prior to the test date.
  • Some students require alternate formatting (audio, enlargement, etc.); this will be indicated in the e-mail confirmation of their test booking, please upload a MS word file format for these requests at least 48 hours prior to the test date.

As you are aware, students registered with our service should provide you with an Accommodations Checklist letter. Students who met with us last semester and received their letters will be able to print their own letters this semester. It would be extremely helpful, if you as their teacher, “gently” remind them that you require this letter and that it is needed in order to receive their accommodations. It is possible that you may encounter a student who is unable to sign up for their tests and/or print their letters. If this is the case, please ask the student to come see us.
