Application Process & Forms

ImportantAs of the 2015-2016 academic year, Dawson College has two separate review processes (Institutional Review and Ethics Review). Research involving human participants cannot begin without institutional approval and ethics approval.

In addition to research ethics review conducted by the Dawson College Research Ethics Board, applications will be reviewed by the Research Coordinator research@dawsoncollege.qc.ca to ensure that the College is able to support the proposed research. Institutional Review is distinct from ethics review, but is concurrent with ethics review. The Research Coordinator and/or the Research Ethics Board Coordinator might be in contact with you to talk about your project.

Questions regarding ethics review should be directed to the REB Coordinator, Daniel Tesolin at dtesolin@dawsoncollege.qc.ca. Any questions regarding institutional review should be directed to the Research Coordinator at research@dawsoncollege.qc.ca.

Step 1: Read the Information Sheet

The Information Sheet is meant as a guide for researchers when applying to the REB. Consent forms are not required to appear precisely like this template, but all sections and questions posed in this document must be considered in the development of a consent form.

Step 2: Complete & Submit the Application Form

Complete the REB Application Form.

Researchers are asked to ensure that all fields in the application form are complete. If the questions on the application form do not address the particular context of your research study, feel free to expand in the comment fields in the application form. Include any appendixes or documents (such as protocol, grant application, notice of award, questionnaires, surveys, recruitment materials, etc.) in your email. Incomplete applications will not be presented to the REB.

Step 3: Annual Reporting or Study Closure

Following the successful review of a project, ethics approval is granted for a period of one year. Towards the end of this one year period, researchers are required to submit either an Ethics Renewal Form or a Research Study Closure Form.

Should a study require modifications prior to its annual renewal, a Amendment Request Form must be submitted and the amendments must be approved prior to implementation.

Applications for ethics renewals must be received by the REB Office at least one month prior to the expiration date on your ethics certificate.

What happens once my application is received by the REB?

Once an application for Ethics Review has been received, the REB Office will conduct a preliminary review to ensure it is complete, and determine whether it will go to a Full Board Review or Delegated Review.

Once the Full Board Review is conducted, depending on the complexity of the research protocol, you will receive a Review Letter from the REB Office within 10-13 business day after the scheduled meeting date. The Review Letter will include comments, concerns, conditions and recommendations from the REB.

Delegated Review is reserved for projects deemed to be of minimal risk, at the discretion of the REB.

Applications for Delegated Review are reviewed by a small number of REB members outside of regular REB meetings.

When submitting your application to the REB, for planning purposes, assume that your application will receive a Full Board Review.

Meeting Dates

Applications for Full Board Review are reviewed at regular scheduled meetings of the REB. Refer to the meeting schedule in the Important Dates.
